Privacy Policy

Last updated: 22 October 2026

This policy explains how iHobbs Salon and Training Academy Ltd handles personal information when people use this website, contact the Academy or apply to the Educator Programme.

Who We Are

iHobbs Salon and Training Academy Ltd, company number NI660671, is the controller of personal information collected through this website.

Our address is 42 to 44 Hawkin Street, Londonderry, Northern Ireland, BT48 6RE. You can contact us about privacy by emailing info@ihobbshair.com or calling 028 7126 4340.

Information We May Collect

When someone submits an Academy enquiry, we collect the contact and identification information, enquiry choices, professional background and message they provide so that we can review and respond to the enquiry.

When someone applies to the Educator Programme, we collect the contact and identification information, professional background, qualifications, experience, portfolio URL, declarations and application answers they provide so that we can assess professional suitability and respond to the application.

If someone emails or telephones iHobbs using the published contact details, we receive the information they choose to share so that we can respond.

We may also collect limited technical, form security, spam prevention and error information needed to operate and protect the website, prevent misuse and investigate service problems.

Health, Hair Loss and Photographic Information

General website forms should not be used to submit sensitive medical information. Please contact the clinic before sharing health information so that an appropriate and secure route can be discussed.

Website forms do not ask for medical history, hair loss details or photographs, and they do not provide image uploads. Where information of this kind is genuinely needed for a service, it belongs within an appropriate consultation or controlled client process rather than a general enquiry.

Separate Choices and Consents

Operational communication about an enquiry or application, professional consent for a service, consent to photography or the use of transformation images, marketing consent and cookie consent are separate matters. Agreeing to one does not mean agreeing to any other.

This website does not currently offer newsletter or marketing sign-up, and its forms do not include marketing consent. If an optional marketing choice is introduced, it will not be preselected. Information about website technology and cookies is provided in the Cookie Policy.

Why We Use Information and Our Lawful Bases

  • Steps requested before a possible contract: to review and respond to enquiries and applications, and to provide information or take steps relating to requested services.
  • Legitimate interests: to respond, assess professional suitability, maintain appropriate business records, protect forms and prevent misuse, where those interests are not overridden by individual rights.
  • Legal obligation: to retain or disclose records where the law requires us to do so.
  • Consent: only for a genuinely optional activity that specifically relies on consent. Where consent is used, it can be withdrawn at any time without affecting earlier lawful processing.

Confirming that the Privacy Policy has been read records acknowledgement of this notice. It is not consent to all processing and is not the lawful basis for assessing an Educator Programme application.

Information We Need

Fields marked as required identify the information needed to review and respond to an Academy enquiry or assess an Educator Programme application. Other fields are optional. If required information is not provided, iHobbs may be unable to respond to the enquiry or assess the application.

Application Review and Automated Decisions

Educator Programme applications are reviewed for professional suitability. No decision carrying legal or similarly significant effects is made solely by automated processing.

Who May Receive Information

iHobbs does not sell personal data.

Information may be received by suppliers supporting website hosting and infrastructure, secure database storage, communications when those services are enabled, and professional advisers where their services are needed.

Information may also be disclosed to courts, regulators, law enforcement or other authorities where legally required, and to external services selected by a visitor when they choose to leave this website.

External Booking and Map Services

This website provides handoffs to Wix booking services and external map services. iHobbs does not receive information merely because a visitor follows one of these links. Once a visitor uses an external service, that provider controls its own service and applies its own privacy practices. Visitors should review that provider's privacy information before submitting personal information.

How Long Information Is Kept

Website enquiries that do not become bookings are normally deleted 12 months after the last meaningful contact.

Unsuccessful applications are normally deleted 12 months after the final decision. Withdrawn applications are normally deleted 12 months after the date of withdrawal.

Records are reviewed every three months, including copies held in email, so that information which has reached these periods can be deleted.

Records for enrolled students, client treatment records, financial records and information needed for an active complaint are kept under separate retention rules.

Information is kept longer than the periods above only where a specific, documented legal, accounting, insurance or active complaint need makes this necessary, and only for as long as that need lasts.

Keeping Information Secure

Form submissions are sent over an encrypted connection and stored in a secure database with restricted access. We take proportionate technical and organisational steps to protect personal information, although no method of transmission or storage can be guaranteed to be completely secure.

Processing Outside the UK

Some suppliers may process personal information outside the UK. Where UK data protection law requires safeguards for that processing, applicable legally required safeguards will be used.

Your Data Protection Rights

Depending on the circumstances and the lawful basis used, a person may have rights to ask for a copy of their personal information, correct inaccurate information, request deletion, restrict its use, object to its use, or receive information in a portable form. Where processing relies on consent, consent may be withdrawn at any time.

To make a request, email info@ihobbshair.com. We may need to confirm identity before acting on a request. Anyone also has the right to complain to the Information Commissioner's Office at any time; contacting iHobbs first is welcome but not required.

Children and Young People

The general website forms are intended for adults. Where a service concerns someone under 18, a parent or legal guardian must be involved and any required consent must be provided before the service proceeds.

Changes to This Policy

This policy may be updated when our services, website or legal responsibilities change. The date shown at the top of the policy indicates when it was last updated.
